Pay Weekly Reservation & Payment Terms

Part A — Introduction

1. Introduction

1.1 Scope: These Pay Weekly Reservation & Payment Terms (“Terms”) govern the Pay Weekly reservation and payment service provided by Event Escapes, a business operated by Zeroopay Technologies Pty Ltd. These Terms apply to eligible Customers (both individuals and business entities) who elect to use the Pay Weekly service for general travel or trade events, operating together with the General Booking Terms, Privacy Policy, Refund Policy, Website Terms of Use, and any applicable Hotel Supplier terms.

1.2 Purpose of Pay Weekly: Pay Weekly enables eligible Customers to reserve selected Accommodation by paying an Initial Payment (the first weekly instalment / deposit) to lock in the booking rate, with the remaining balance paid in equal weekly instalments prior to check-in.

1.3 Consumer Rights: Nothing in these Terms excludes or restricts statutory rights that cannot lawfully be excluded under applicable legislation, including the Australian Consumer Law where applicable.

2. Acceptance of Terms & Capacity

2.1 Acceptance: By applying for Pay Weekly, paying the Initial Payment, confirming a Booking, authorising recurring weekly payments, or continuing to use the Pay Weekly service, the Customer agrees to be legally bound by these Terms. Electronic acceptance carries the same legal effect as a handwritten signature.

2.2 Authority: Customers booking on behalf of another person or business entity warrant that they have legal authority to bind that person or organisation.

2.3 Plan Capacity & Waitlists: Pay Weekly plan capacity is limited. Where capacity is reached, new requests will join a waitlist.

2.4 Amendments: Event Escapes may amend these Terms for future Bookings. Existing Payment Plans will not be varied retrospectively unless required by law, necessary for fraud/security reasons, or agreed in writing by the Customer.

3. Definitions

Event Escapes WalletThe digital ledger used to record eligible credits, un-fee’d voided plan credits, promotional credits, and supplier refunds.
Initial PaymentThe first equal weekly instalment charged at checkout serving as the deposit to confirm the room and lock in pricing.
Payment PlanThe schedule of equal weekly payments calculated at checkout, concluding at least 1 week prior to check-in and inside the hotel’s free-cancellation deadline.
Total Booking PriceThe total fixed amount payable for the Accommodation in the agreed billing currency (USD or AUD).

Part B — Interpretation and Commercial Framework

4. Interpretation & Currency

4.1 General Rules: Words importing the singular include the plural and vice versa; headings are for convenience only; “including” means “including without limitation”.

4.2 Billing Currency: Plans are fixed at checkout in the nominated billing currency: US Dollars (USD) or Australian Dollars (AUD) (for Australian customers). Every instalment is charged in the designated billing currency. If a Customer's payment card is issued in a different currency, the issuing bank converts each payment at its own exchange rate on the date of charge. Any local-currency amounts displayed on the platform are indicative only.

5. Commercial Intent of Pay Weekly

Pay Weekly is designed to assist Customers in budgeting for Accommodation by reserving selected hotel bookings and completing payment before the scheduled Check-in Date under a scheduled lay-by style structure.

6. Nature of Service & Rate Eligibility

6.1 Free-Cancellation Rate Requirement: Pay Weekly plans can only be established on rates offering free cancellation (rates including breakfast or amenities are eligible provided the rate itself is freely cancellable).

6.2 Fulfillment: Following payment of the Initial Payment, Event Escapes will secure and maintain the room reservation in the Customer's name. Accommodation cannot be used until the Total Booking Price has been paid in full.

7. No Credit Provided & No Credit Checks

7.1 No Financial Credit: Pay Weekly is a reservation and scheduled lay-by arrangement. Event Escapes does not charge interest or finance charges and does not provide a reusable spending credit limit.

7.2 No Credit Checks: Event Escapes does not perform credit checks on Customers as a precondition to accessing or using the Pay Weekly service.

8. Customer Eligibility

8.1 Criteria: Open to individuals (at least 18 years old) and businesses.

8.2 Documentation & Visa Checks: For specific bookings (such as trade events or destinations with visa/entry checks), Event Escapes may require valid passport details (name, number, expiry). Where required, passports must be valid for the trip (e.g., at least 6 months validity beyond travel dates for travel to China).

Part C — Booking Lifecycle

9. Application & Request Process

Customers apply by selecting an eligible free-cancellation rate. Submission of an application is subject to plan availability and fraud screening.

10. Eligibility Assessment

Event Escapes performs identity verification, payment method validation, and fraud screening prior to approval without executing credit bureau checks.

11. Price Lock & Confirmation

Upon clearance of the Initial Payment (deposit), the room is confirmed in the Customer's or business's name, and the total room price is locked against future fluctuations.

12. Initial Payment

The Customer pays the first equal weekly payment at checkout. Receipt of this payment authorises Event Escapes to confirm the reservation with the Hotel Supplier.

13. Payment Schedule & Early Payoff

13.1 Equal Instalments: The Total Booking Price is split into equal weekly instalments. The final instalment is due at least 1 week prior to check-in and strictly inside the room's free-cancellation window.

13.2 Early Repayment: Customers may pay off the remaining balance early in full at any time via their plan page without fee, penalty, or discount.

14. Card Authorisation & Payment Processing (Stripe)

14.1 Card Storage & Tokenisation: Card details are processed and held securely by Stripe (PCI-DSS Level 1 certified). Event Escapes never stores or sees full card numbers—only a secure token linked to the plan.

14.2 Recurring Merchant-Initiated Authorisation: By starting a plan, the Customer authorises Event Escapes to automatically charge the saved card for each weekly instalment on scheduled dates until paid or cancelled.

14.3 Authentication & Reminders: The Initial Payment is authenticated via 3-D Secure. Event Escapes sends an automated reminder email approximately 48 hours prior to each scheduled charge. In jurisdictions where card network rules require manual approval, Stripe secure payment links will be emailed prior to each instalment.

15. Failed Payments, Grace Period & Safety Buffer

15.1 Failed Payment Protocol: If a payment fails, Event Escapes emails an immediate secure pay-now link and attempts automatic retries on the saved card.

15.2 14-Day Grace Period: The Customer is granted a 14-day grace period from the missed payment due date to bring the plan current or pay the remaining balance.

15.3 7-Day Safety Buffer: The grace period never extends past the hotel's free-cancellation deadline. Event Escapes enforces a strict 7-day safety buffer prior to the hotel's free-cancellation deadline. If the hotel deadline occurs sooner than 14 days, the grace period terminates at the safety buffer threshold—whichever comes first.

15.4 Plan Voiding: If the balance is not rectified before the expiry of the grace period or safety buffer, the plan is voided, and the hotel reservation is cancelled prior to the hotel's cancellation deadline.

16. Plan Completion, Invoices & Reward Points

16.1 Receipts & Invoices: An email receipt is issued following every weekly payment. A full tax invoice for the complete booking is issued via email upon full payment (issued in the business name if details were provided).

16.2 Reward Points: Event Escapes reward points are credited upon full completion of the plan (1 point per AUD $1 of accommodation cost, value-normalised across currencies). Cancelled or voided plans earn no points; points awarded on completed plans are reversed if the booking is subsequently refunded.

Part D — Event Escapes Wallet, Refunds & Cancellations

17. Event Escapes Wallet

The Event Escapes Wallet is a digital ledger recording approved credits, supplier refunds, and un-fee'd cancellation funds. Wallet balances carry no interest, do not expire, and can be applied toward future Pay Weekly or checkout hotel bookings.

18. Customer Cancellations (Freely Cancellable Window)

If a Customer cancels a booking while inside the free-cancellation window, they may select one of two refund options:

  • Option A — Pay Weekly Wallet (Default / Fee-Free): 100% of all funds paid (including any applied wallet credits) are credited to the Customer's Event Escapes Wallet with no processing fees deducted.
  • Option B — Original Payment Card Refund: Funds paid are refunded to the original payment card(s), less the Cancellation Administration Fee (the lesser of 8.9% or AUD $150, converted to the billing currency). Card refunds typically take 5–10 business days.

19. Voided Plans (Missed Payments)

When a plan is voided by Event Escapes due to an unresolved missed payment under Section 15:

  • Automatic Wallet Credit: 100% of funds paid are automatically credited to the Customer's Event Escapes Wallet with zero fees deducted.
  • Card Withdrawal: Customers may request a card withdrawal from their Wallet balance at any time from their plan page, subject to the standard Cancellation Administration Fee deduction.

20. Supplier Cancellation & Insolvency

If a Hotel Supplier cancels Accommodation or suffers insolvency, Event Escapes will assist the Customer by securing comparable accommodation, offering Wallet credits, or facilitating full supplier refunds.

21. Event Postponement or Cancellation

Where Accommodation was booked in connection with a concert, trade show, or sporting event, postponement or cancellation of the underlying event does not automatically alter hotel cancellation rules. Cancellations remain governed by the room's free-cancellation window under Section 18.

22. Amendments & No-Show

22.1 Amendments: Changes to dates, room types, or guest details are subject to supplier availability and supplier fees. Event Escapes does not charge internal amendment fees.

22.2 No-Show: Failure to check in without prior cancellation results in forfeiture of funds in accordance with supplier terms.

Part E — Fraud, Compliance, Liability & General Protections

23. Identity Verification & Data Security

23.1 PCI-DSS Security: Credit card processing is completely segregated via Stripe's PCI-DSS Level 1 infrastructure.

23.2 KYC Verification: Event Escapes may perform identity verification, AML/KYC checks, or passport verification as required by law or trade event regulatory obligations.

24. Chargebacks

If a Customer initiates a card chargeback with their bank, the plan is immediately suspended, future charges are halted, and the hotel reservation is released. Contested amounts are managed through the card network dispute mechanism rather than internal refund mechanisms.

25. Privacy & Data Handling

Personal information, passport details, and transaction data are collected, stored, and processed strictly in accordance with the Event Escapes Privacy Policy and relevant privacy laws.

26. Limitation of Liability & Force Majeure

To the maximum extent permitted by law (including Australian Consumer Law), Event Escapes is not liable for indirect losses, third-party supplier acts/omissions, or performance delays caused by events beyond reasonable control (Force Majeure).

27. Governing Law

These Terms are governed by the laws of Victoria, Australia. Any disputes are subject to the exclusive jurisdiction of the courts of Victoria.
